Role overview

We are looking for a reliable, organised, and personable Team PA / Front of House Support to join our office. This role combines full-time Team Personal Assistant support for one of our 18 specialist teams with a consistent front-of-house presence. You will be based at reception 4 days per week as the welcoming face of the company, with 1 dedicated day per week working directly with your team.

On quieter reception days with no expected visitors, you will also have the flexibility to sit with the team.

Key responsibilities

- Provide day-to-day administrative support to team members across all levels, as well as to business support teams.
- Work from reception 4 days per week as the first point of contact – greeting guests, couriers, and service providers.
- Maintain a qualified and welcoming reception area.
- Manage expense reimbursements, including reconciliation against credit card statements and follow up on outstanding charges.
- Maintain and update systems by creating new accounts, projects and contact records as requested.




- Support the consulting teams in maintaining resourcing data, including hours, planning schedules, skills and certifications.
- Process monthly billing and invoicing accurately ensuring you meet billing deadlines.
- Schedule meetings and assist team with arrangements including meeting room bookings, visitor management and preparation of materials.
- Book and manage travel arrangements for team members.
- Enter and submit timesheets on behalf of team members when required.
- Assist with the preparation of documents, including correspondence, presentations, reports.
- Organise occasional catering, refreshments, and coffee runs for meetings.
- Organise internal team events and occasionally assist with external client event support.
- Perform general office duties as needed, including kitchen upkeep and assisting with ad hoc facilities requests.
- Assist with new staff onboarding, including taking staff photos for internal systems and directories.
- Assist business operations teams and committees with additional projects and tasks as needed.
- Distribute incoming mail and other deliveries

About You

- Team PA, Executive Assistant, or similar administrative background.
- Professional, friendly, and confident with strong interpersonal skills.
- Strong communication skills, and able to build good working relationships.
- Comfortable combining proactive team support with a visible front-of-house role.




- Highly organised with the ability to prioritise effectively and manage multiple conflicting demands.
- High level of attention to detail.
- Intermediate Microsoft office skills, including Microsoft Word, PowerPoint and Excel
- Exposure to Salesforce and Certinia advantageous
- Ability to exercise initiative and work both independently and cooperatively, adopting a proactive and flexible approach to work.
- Maintain confidentiality and handle sensitive matters diplomatically and discreetly.
- Completion of relevant studies in business administration (desired).

Role Structure & Details Reception duties are relatively light with no switchboard or heavy phone work. Additional responsibilities may be added as the role evolves. This setup allows you to provide consistent support to your team while also being an important front of house presence.

- You will deliver Team PA support 5 days a week for your assigned team.
- 4 days per week based at reception / front desk.
- 1 dedicated day per week working directly alongside your team.
- On quieter reception days (when no visitors are expected), you will have the flexibility to work from the team’s area.

Working Arrangements 5 days in the office – based in The Rocks, Sydney, NSW.

Full working rights in Australia required.
