Are you an organised, detail-focused administrator who likes keeping the wheels turning behind the scenes? Do you want your work to support real outcomes for people across the Territory and beyond?
Optimal Support is looking for a Client Services Coordinator to join our Darwin team. This is a varied role at the centre of our operations, making sure our clinicians, participants and families have what they need for services to run smoothly.
About the Role
Based in our Darwin office with flexible working arrangements available, you’ll work closely with our Service Delivery Manager to coordinate the day-to-day running of services across the NT and SA. You’ll be the practical link between our clinical teams, participants, families and support coordinators.
- Processing new referrals and getting them into our system promptly
- Booking and managing client appointments, including recurring sessions, school visits and community-based work
- Coordinating travel and accommodation for our FIFO and remote clinicians
- Managing the admin inbox and phone, responding to queries and service requests
- Keeping client and administrative records accurate, current and compliant
- Supporting participant onboarding and flagging scheduling or capacity issues early
- Helping maintain and improve our systems, templates and processes
More complex or sensitive matters are escalated to the Service Delivery Manager, so you’ll always have support around you.
What We’re Looking For
- At least 3 years in an administration or office management role, ideally in healthcare or allied health
- Previous NDIS or aged-care admin experience highly preferred
- Confident with Microsoft Office and client/practice management systems (we use Zanda)
- Excellent communication, organisation and time-management skills
- Robust attention to detail and a real commitment to accuracy
- Able to work independently and as part of a team
- Understanding of healthcare privacy and confidentiality standards
- A National Police Clearance and NDIS Worker Check, or willingness to obtain both
