The Office Manager is responsible for the efficient day-to-day administration and financial operations of North Coast Shiplift Pty Ltd. This role ensures the office operates smoothly while supporting the Operations Manager and Directors in delivering high-quality administrative, financial, and customer service outcomes.
The successful applicant will work closely with the Administration Team and Operations Manager, who will provide ongoing support and guidance where required.
Responsibilities
Office Management
- Oversee the day-to-day operations of the office.
- Maintain office systems, records, and administrative procedures.
- Answer telephone and email enquiries professionally.
- Coordinate incoming and outgoing correspondence.
- Manage office supplies and equipment.
- Maintain confidential employee and company records.
- Assist with scheduling meetings and maintaining calendars.
Financial Administration
- Manage daily accounting functions using Xero Accounting Software.
- Process customer invoices accurately and in a timely manner.
- Process supplier invoices and prepare payments.
- Complete payroll processing accurately and on schedule.
- Maintain accurate financial records and filing systems.
- Liaise with accountant as required.
Customer Service
- Provide exceptional customer service to clients, contractors, and suppliers.
- Prepare quotations, correspondence, and documentation as required.
- Ensure all customer documentation is complete and accurately recorded.
Human Resources & Administration
- Maintain employee records and payroll documentation.
- Assist with onboarding recent employees.
- Support the Operations Manager with Administrative Functions.
- Ensure compliance with company policies and procedures.
Work Health & Safety (WHS)
- Assist in maintaining compliance with Work Health and Safety legislation.
- Maintain WHS records, registers, and documentation.
- Support incident reporting and corrective actions.
- Promote a safe and compliant workplace culture.
Skills and Experience
Essential
- Demonstrated experience in an Office Manager or Senior Administration role.
- Strong working knowledge of Xero Accounting Software.
- Experience processing payroll.
- Experience with customer invoicing and accounts administration.
- Excellent computer skills, including Microsoft Office.
- High level of organisational and time management skills.
- Excellent written and verbal communication skills.
- Ability to work independently while managing multiple priorities.
- Strong attention to detail and accuracy.
Desirable
- Experience in the marine, construction, engineering, or industrial sectors.
- Knowledge of Australian employment and payroll requirements.
- Experience with contractor administration.
- Understanding of Work Health and Safety (WHS) legislation and compliance.
