THE BUSINESS & ROLE:

We provide professional calibration, inspection and testing services throughout Australia and primarily across the Top End. A long-standing Darwin business with a strong reputation for quality, reliability and resourcefulness. Careful research, well-established contacts and a detailed knowledge of software including excel, Microsoft systems and accounting systems.
As an Administration role, this will involve but not limited to:
1. Business Administration Officer
- Customer service: answer phone/email enquiries & Job flow: In boarding of jobs, schedule bookings, confirm appointments, update clients on job status, delivery of completed jobs, compliance, certificates, authority for release of assets and invoiced
- Quoting & invoicing: prepare quotes, issue tax invoices, process payments and reconcile receipts in accounts software.
- Compliance & documentation: maintain calibration certificates, job sheets, WHS records, licenses and insurance documents.
- Data entry & records: update Client file/job-management system and MYOB (or equivalent); maintain parts inventory records.
- Quality & safety support: Integrated Management System Management: updating and assisting with document control and review incident reporting compliance.
- Administrative tasks: prepare correspondence, reports, meeting minutes and onboarding paperwork; manage office supplies.
2. Compliance, Licences & Regulation
Ensure business compliance with:
- Industrial Testing, Metrology, and Calibration Services industry Licensing requirements
- Insurance, accreditation, and statutory reporting
- Maintain registers for licences, certifications, insurances, and renewals.
- Ensure compliance systems are current, auditable, and consistently used.
3. Reporting & Governance
Attend and actively document:
- Pre start meetings; Weekly Work in Progress (WIP) Meetings; Monthly Tool box Meetings
Required Skills & Experience
- Proven experience in a business Administration role , automotive, calibration or workshop environments desirable with a strong understanding of administration, contracts, and compliance.
- Solid financial literacy, including profit reporting and labour cost management.
- Certificate III/IV in Business Administration or equivalent preferred.
- Minimum 2 years’ administration experience; experience in automotive, calibration or workshop environments desirable.
- Basic bookkeeping or accounts experience preferred.
- Experience implementing and improving business systems and processes .
- Ability to delegate, prioritise, and manage multiple work streams.
- Strong written and verbal communication skills.
- Experience working in a small to medium enterprise .
- Knowledge of Northern Territory regulations and licensing.
- Experience with Xero/MYOB/QuickBooks and CRM/job management tools.
- Formal qualifications in business, finance, corporate governance or management.
