Smoke Control Systems Pty Ltd is one of the leading manufacturing firms in Australia, we are an established Australian based 'Passive Fire Protection' company that designs, engineers, manufactures and installs specialty fire & smoke curtains, glazed fire & smoke doors and windows. We have been at the forefront in the execution of a wide array of fire protection projects for builders, governments, and large corporations.

Based in Sydney and servicing all of Australia & New Zealand, we currently have an opening for a Service Coordinator to support our Maintenance Team.

Position Overview:

The Service Coordinator plays a critical role in ensuring the smooth and efficient delivery of service operations. This includes scheduling service technicians, managing client requests, maintaining service records, and acting as the communication link between clients, technicians, and internal departments. The ideal candidate will be highly organized, customer-focused, and capable of managing multiple tasks under pressure.

Key Responsibilities:

Scheduling & Coordination:

- Allocate and schedule service technicians for jobs, ensuring optimal resource utilization.

- Adjust schedules dynamically based on emergencies, delays, or changes in priorities.

Customer Communication:

- Serve as the first point of contact for customer inquiries, service requests, and complaints.

- Provide clear updates to customers regarding service timelines and outcomes.

Work Order Management:

- Create, update,



and close work orders in the company's service management system.

- Ensure all job details are accurately entered and recorded.

Documentation & Reporting:

- Maintain detailed records of service calls, technician notes, parts used, and job status.

- Generate regular reports for internal review and performance tracking.

Liaison Duties:

- Coordinate with the sales, projects, and production teams to ensure service requirements are met.

- Communicate technician availability, parts needs, and follow-up actions.

Inventory & Parts Support:

- Assist in tracking inventory and ordering required parts for service jobs.

- Ensure parts are available and dispatched in time for scheduled services.

Must Haves:

- Previous experience in a service coordination, administration, or dispatch role (minimum 2 years preferred).

- Excellent verbal and written communication skills.

- Strong organisational and multitasking abilities.

- Proficiency with scheduling software and MS Office (especially Excel and Outlook).

- Experience using service management platforms (e.g., NetSuite) is an advantage.

- Ability to remain calm and professional in a fast-paced setting.

- Strong attention to detail and problem-solving skills.

- Australian work rights are required for this position.
