More Cultural Rehabs Less Jails Aboriginal Corporation (MCRLJ) is an Aboriginal community-controlled organisation delivering culturally grounded healing, diversion and prevention programs across Wellington, Dubbo and Bathurst, NSW. MCRLJ works alongside related entity Yurauna Pty Ltd to strengthen community, culture and connection, and to reduce contact between Aboriginal people and the justice system.
POSITION SUMMARY
The Executive Assistant provides high-level administrative and executive support to the Chief Executive Officer and Business Manager, while also delivering day-to-day office and administrative support across MCRLJ's programs and sites. The role is a blend of executive support (diary and correspondence management, meeting and travel coordination) and general office administration (reception, records, procurement of office supplies, equipment registers and facilities support). The successful applicant will be highly organised, discreet, and comfortable working across competing priorities in a busy, community-facing environment.
The role is offered as 25 hours per week with 5 days paid cultural leave and some flexibility with hours worked.
KEY RESPONSIBILITIES
Executive Support
- Manage the CEO's and Operations Manager's diaries, appointments and correspondence, prioritising and resolving scheduling conflicts.
- Coordinate meetings, including agendas, minutes, action tracking and follow-up.
- Organise travel, accommodation and logistics for the CEO, Business Manager and Board members.
- Act as a first point of contact for the CEO
- Support the preparation and submission of funding reports, grant applications and compliance documentation as required.
- Maintain strict confidentiality across all executive, board and organisational matters.
Office & Administrative Support
- Maintain accurate filing, records management and document control systems (electronic and hard copy).
- Coordinate procurement, stock and inventory of office and program supplies across Wellington, Dubbo and Bathurst sites.
- Maintain the equipment borrowing register and support asset management processes.
- Support the coordination of staff meetings, training sessions and organisational events.
- Assist with the preparation of program materials such as brochures, flyers, forms and newsletters.
- Undertake other administrative duties as reasonably directed, consistent with the role and the SCHADS Award classification.
SELECTION CRITERIA
Essential
- Demonstrated experience in an executive assistant, personal assistant, or administrative support role.
- Solid organisational skills with the ability to manage competing priorities and meet deadlines.
- Excellent written and verbal communication skills, including report and correspondence writing.
- High level proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and general office systems.
- Ability to exercise discretion, sound judgement and maintain confidentiality.
- Demonstrated understanding of, and commitment to, Aboriginal culture, community and self-determination.
- Current NSW driver's licence and willingness to travel between Wellington, Dubbo and Bathurst and own vehicle.
- Current (or ability to obtain) a Working with Children Check and National Police Check.
Desirable
• Experience working within an Aboriginal community-controlled organisation or the community services sector.
• Experience with Canva or similar design tools for internal communications and program materials.
