We are now looking for an enthusiastic and proactive Service & Administration Coordinator to join our team in our Brendale office(no city commute!).
About the Role
This is a full-time position, Monday to Friday. Standard hours are either 8:00am–4:00pm or 7:00am–3:00pm, with the possibility of rotating between these shifts by mutual agreement Note: Applicants must be available to work during school holiday and summer periods.
Reporting to the Operations Manager, this is a varied and fast-paced role where you will actively manage your workflow to help ensure a smooth experience for our clients and technicians.
This role works closely with our existing Service and Administration Co-Ordinator, with both positions working together to support our technicians, clients and daily operations.
You will be working alongside a high-performing trade team who take pride in their work and genuinely support one another.
We’re not looking for someone to just answer phones — we’re looking for someone who wants to be part of the engine room of our business. In this role, you’ll play a key part in supporting our technicians, coordinating jobs and making sure our clients feel looked after from the first call to final invoice.

Your Responsibilities
Your duties will include (but not be limited to):
- Answering incoming calls from clients and technicians
- Scheduling jobs and coordinating with our trade team
- Basic invoicing of completed jobs
- Managing multiple email inboxes
- Setting up and maintaining jobs from start to finish within our CRM system (ServiceM8)
- General administrative support to the Operations Manager
- Making outbound calls to customers and suppliers as required
About You
We are looking for someone who is organised, proactive and confident managing multiple tasks at once.
Essential:
- Customer service experience
- Scheduling or coordination experience within a trade business or another scheduling role or business
- Strong organisational skills and attention to detail
- Ability to manage competing priorities
- Competency in Microsoft Office Suite
- Technically confident and able to learn new systems quickly
- Common-sense problem solving skills
We need someone who has experience in the art of scheduling, problem-solving and keeping a business moving. Experience in a trade or construction workplace or exposure to ServiceM8 is a bonus,
but definitely not essential — we provide full training. What we need is someone who is adaptable, eager to learn and able to pick up new systems with training and support.
