Role Highlights The Executive Assistant provides high-level strategic and executive support to the General Manager Strategy, Planning and Performance and the General Manager Major Projects, enabling the effective delivery of divisional and organisational priorities aligned to Fremantle Ports’ Strategic Plan. Acting as a trusted advisor and key coordination point, you help facilitate executive decision-making, align priorities and strengthen the effectiveness of leadership interactions across the organisation. You play a critical role in managing information flow, anticipating emerging issues, and ensuring the General Managers are well positioned to lead, influence and deliver outcomes.

Working closely with internal leaders, external stakeholders and government agencies, you support strategic engagement, maintain momentum on key initiatives, and enable timely, well-informed decisions.

In this diverse, hands-on role, your responsibilities include but are not limited to:

- Enable the General Managers to deliver divisional and organisational priorities by coordinating activities, information flow and engagements aligned to Fremantle Ports’ Strategic Plan.
- Provide strategic executive support through proactive management of priorities, optimising the General Managers’ time, focus and decision-making effectiveness.
- Build and sustain effective relationships with external stakeholders, including government agencies, acting as a key interface to support strategic engagement, information exchange and coordinated outcomes.
- Facilitate effective stakeholder engagement by managing interactions, triaging requests and ensuring timely, consistent and high-quality responses on behalf of the General Managers.
- Leverage contemporary digital tools, including AI and modern systems, to enhance executive productivity, streamline workflows and enable efficient, insight-driven ways of working.




- Oversee the end-to-end coordination and preparation of board and governance reporting, ensuring accuracy, consistency and alignment to support executive decision-making.
- Act as a central liaison across the division, ensuring alignment of priorities, clear communication of expectations and timely follow-through on actions.
- Drive visibility and progress of key initiatives by tracking priorities, identifying interdependencies and maintaining momentum across competing demands.
- Prepare and coordinate high-quality briefings, correspondence, presentations and communication materials for executive and stakeholder engagement.
- Anticipate emerging issues and risks, identify solutions early, and support responsive, informed decision-making in a dynamic environment.
- Strengthen divisional effectiveness through continuous improvement of systems, processes and ways of working aligned to strategic priorities.

Qualifications and Experience

- Demonstrated experience (3+ years) providing high-level support to senior leaders in a complex, fast-paced environment.

Technical, Professional and Specialist Skills

- Proven ability to support multiple senior leaders while managing competing priorities and maintaining strong coordination across divisional activities.
- Proven ability to manage complex diaries, inboxes, and competing priorities in a fast‑paced, high‑pressure environment.




- Solid written and verbal communication skills, with experience preparing professional correspondence, briefings, and presentations for varied audiences.
- Demonstrated ability to build effective working relationships with internal and external stakeholders to support collaboration and outcomes.
- High level of discretion, with proven experience handling confidential information, records, and correspondence.
- Well-developed organisational and time management skills, with the ability to meet planned deadlines and respond to urgent, ad hoc requests.
- Strong computer literacy and demonstrated capability in the effective use of corporate systems to support executive and divisional operations.
- Experience supporting budget preparation, monitoring, and basic financial tracking activities.
