Dental Practice Manager

Full-Time | 4 Days per Week
Hawthorn, VIC
Salary: Competitive, dependent on experience

Gentle Dental Hawthorn is seeking an experienced, motivated, and people-focused Dental Practice Manager to lead our growing practice. This role is ideal for a confident dental professional who enjoys leadership, thrives in a fast-paced environment, and is passionate about creating exceptional patient experiences while supporting team success.

Located in the heart of Hawthorn, our modern practice is surrounded by cafes, boutique shopping, and excellent public transport. This full-time position is across four days per week, offering a consistent scheduled day off.

About Gentle Dental Hawthorn

Our practice is home to four dentists and three oral health therapists who share a strong commitment to comprehensive care, patient education, and long-term oral health outcomes.

We provide a broad range of treatments including:

• Implants
• Clear aligners
• Cosmetic injectables
• Surgical extractions
• Crown and bridge work
• CEREC same-day restorations
• Preventive and ongoing care

Our clinic is equipped with CBCT, OPG, intraoral scanners, laser technology, and modern digital workflows that support efficiency and high clinical standards.

The Role

As Practice Manager, you will play a central role in leading the day-to-day operations of the practice while supporting the growth, performance, and wellbeing of both patients and team members.





You will be responsible for ensuring smooth daily operations, driving practice efficiency, supporting team development, and maintaining an exceptional patient experience.

This is a hands-on leadership role suited to someone who enjoys balancing people management, business operations, systems, and patient care.

Key responsibilities include:

• Leading and overseeing day-to-day practice operations

• Managing and supporting reception and clinical teams

• Creating and maintaining efficient appointment scheduling and clinical flow

• Driving practice growth through recall management and treatment conversion opportunities

• Overseeing patient communication, treatment coordination, and service standards

• Managing staff rostering, onboarding, training, and team development

• Supporting performance management and fostering positive workplace culture

• Monitoring KPIs, reporting, and identifying opportunities for business improvement

• Managing accounts, payments, HICAPS, and financial workflows

• Ensuring compliance, policies, and systems are maintained

• Implementing and improving systems to enhance efficiency and patient experience

• Working collaboratively with clinicians to support practice goals and growth

• Using Dentally software (preferred but not essential)

About You





You are an experienced dental professional who enjoys leading teams, building systems, and creating positive patient experiences.

You will ideally have:

• Previous experience in dental practice management or senior dental reception leadership

• Strong understanding of dental workflows and practice operations

• Excellent leadership and people management skills

• Strong communication and conflict-resolution abilities

• High level organisational and time management skills

• A proactive, solutions-focused mindset

• Confidence working independently while supporting a team environment

• Experience with KPIs, business performance, and operational management advantageous

• Certificate III in Dental Assisting or equivalent advantageous but not essential

• Experience with Dentally software highly regarded
