We are looking for an organised, proactive and people-focused Client Services & Therapy Coordinator to join our growing team at Highgate Hill.

This is a unique opportunity for someone who enjoys building relationships, coordinating services and being an integral part of a specialist allied health practice.

About the Role

You will play a critical role in ensuring our clients receive an exceptional experience from their very first interaction with ABI Solutions.

This role combines client services, referral coordination, scheduling, stakeholder liaison and therapy support. No two days are the same.

Key Responsibilities

Client Services & Referral Coordination

- Be the first point of contact for clients, families and referrers.

- Manage phone calls, emails and new client enquiries.

- Respond to referrals and enter referral information into our systems.

- Guide clients through services, funding options, pricing and payment processes.

- Build relationships with support coordinators, case managers, insurers, medical professionals and other stakeholders.

- Assist with referral conversion and ongoing stakeholder engagement.

Scheduling

- Coordinate appointments across two busy practice locations.

- Work with Team Leaders to allocate referrals and optimise clinician calendars.

- Identify appointment gaps and proactively fill clinician availability.

- Monitor waitlists and support timely access to services.





Therapy & Administration Support

- Provide administrative support to Occupational Therapists and Speech Pathologists.

- Assist with preparation of therapy resources and client materials.

- Support the administration of ABI Solutions group programs.

- Contact clients regarding appointments, program attendance and follow-up requirements.

- Maintain accurate client records and update CRM and practice management systems.

You are proactive, process-driven and enjoy finding solutions rather than waiting for direction.

Essential

- Exceptional communication and interpersonal skills
Qualified and confident phone manner
Strong organisational skills and attention to detail
Strong initiative and problem-solving skills
Excellent Microsoft Office skills
Experience in administration, customer service, healthcare, disability, aged care or allied health

Desirable

Experience working in allied health, rehabilitation, disability or aged care
Therapy Assistant experience
Experience using Splose or iinsight practice management software
Understanding of NDIS and other funding schemes
Experience reading and formatting allied health reports
