Position Purpose
The Pre-Delivery Coordinator is responsible for overseeing and coordinating the pre-delivery process of all new and used vehicles to ensure they are prepared to Pacific Motor Group standards and delivered to customers in a professional, timely, and high-quality manner.
This role acts as the central coordination point between Sales, Service, Workshop, Detail, Accessory Fitment and Administration teams to ensure vehicle readiness aligns with customer delivery expectations and dealership targets.
The successful candidate will be highly organised, proactive, customer-focused, and capable of managing multiple vehicle movements and priorities simultaneously in a fast-paced dealership environment.
Key Responsibilities
Vehicle Coordination & Workflow
- Coordinate all incoming and outgoing pre-delivery vehicles across multiple departments
- Schedule and monitor vehicle preparation timelines to ensure delivery commitments are achieved
- Liaise daily with Sales Consultants regarding delivery priorities and customer expectations
- Coordinate accessory fitment, registration requirements, detailing and workshop bookings
- Track vehicle status updates and ensure accurate workflow management
Quality Control
- Conduct final quality inspections prior to customer delivery
- Ensure all vehicles meet Pacific Motor Group presentation and cleanliness standards
- Identify and escalate defects, delays or incomplete work immediately
- Ensure accessories and fitments are completed correctly prior to handover
Administration & Compliance
- Maintain accurate records relating to vehicle preparation and delivery status
- Ensure compliance with manufacturer pre-delivery requirements and dealership procedures
- Coordinate registration, roadworthy and compliance documentation where required
- Assist with stock management and vehicle movement documentation
Team & Stakeholder Communication
- Work collaboratively with Service, Parts, Sales and Detail departments
- Communicate proactively regarding delivery delays, changes or operational issues
- Support a positive, solutions-focused team workplace
- Maintain professional communication with internal stakeholders and external suppliers
Customer Experience
- Support the delivery process to ensure a smooth and professional customer experience
- Assist in maintaining high customer satisfaction and manufacturer CSI/NPS outcomes
- Ensure vehicles are delivered on time and to exceptional presentation standards
Key Skills and Competencies:
- Strong organisational skills with a high level of attention to detail.
- Excellent communication and interpersonal skills.
- Ability to work in a fast-paced environment and manage multiple tasks simultaneously.
- Proficiency in computer systems, including dealership management software and Microsoft Office Suite.
- A proactive and problem-solving mindset.
Qualifications and Experience:
- Previous experience in an administrative role, preferably within the automotive industry.
- Knowledge of vehicle registration and Pre-Delivery processes is highly desirable.
- Experience with dealership management software is a plus.
- A valid driver’s licence (Essential)
