The Opportunity

We are looking for a proactive Workflow Manager who will be responsible for the effective scheduling and movement of work across strategy, creative and craft design teams across the M+C Saatchi Group. Working closely with the Creative Operations Director, you will ensure work is allocated to the right people at the right time, balancing capacity, capability and project priorities. Using Smartsheet and Resource Manager , our project management and scheduling tools, the Workflow Manager maintains visibility of team workload, supports accurate planning, and helps ensure projects move smoothly from briefing through to delivery. This role sits at the centre of the creative process — coordinating teams, maintaining clarity on priorities, and helping the agency deliver great work while protecting team wellbeing and sustainable workloads.

A Snapshot Of What You’ll Do

- Maintain a clear, real‑time view of team capacity across Strategy, Creative and Craft Design using Smartsheet and Resource Management
- Allocate work based on capacity, skillsets and project priority,



in consultation with department leads and the Creative Operations Director
- Maintain and update the agency workflow schedule, ensuring milestones and dependencies are clearly tracked
- Run weekly workflow WIPs and daily stand‑ups where required to keep schedules accurate and identify risks early
- Review project timelines provided by project or account leads and validate against current resource availability.
- Identify upcoming capacity gaps or peak periods and escalating potential freelance needs
- Ensure all briefs, finance approvals, and hours are locked in before work begins.
- Monitor progress across active projects and proactively flag risks to timelines or resourcing
- Work closely with creative, strategy and project leads to prioritise competing workstreams
- Support the smooth handover between teams across different stages of the creative process and oversee final project archiving

Core Competencies

- Project & Resource Management: Adept at managing complex workflows, competing priorities, and resource utilisation data to optimise team output.
- Operational Precision: High attention to detail in maintaining scheduling systems and ensuring deadline accuracy.
- Strategic Communication: Confident in coordinating across multidisciplinary teams and managing stakeholder expectations.
- Adaptive Problem‑Solving:



Solutions‑focused and composed under pressure, with the agility to pivot as project needs evolve.
- Relationship Building: Collaborative approach to fostering strong internal partnerships across all levels.

What You’ll Bring

- 2–4 years experience in traffic, workflow, resourcing or project coordination within a creative, design or advertising environment
- Experience supporting multiple creative disciplines such as strategy, design, social, PR or campaign delivery
- Familiarity with resource management or project management systems (experience with Smartsheet or Resource Manager is highly desirable)
- Strong organisational and scheduling skills with excellent attention to detail
