About the role

We are seeking an experienced Medical Administration/Reception professional with experience in Xestro Practice Management software, to join our dynamic team at Gabba Spine & Orthopaedics in Woolloongabba, Queensland. This part-time (4 day per week) role is essential in supporting the smooth and efficient operation of our medical practice, ensuring our patients receive the highest level of care and customer service.

What you'll be doing

1. Greeting patients and visitors in a friendly and professional manner

2. Scheduling appointments and managing the practice's appointment calendar, including cancellation lists and ensuring GP referrals are up to date in Xestro software

3. Handling patient inquiries, both in person, email and via telephone

4. Assisting with the preparation of medical request forms and appointment documentation and patient registration

5. Providing administrative support to the clinical team as required

6. Maintaining a high level of confidentiality and attention to detail

7. Ensuring the reception area is well-presented and welcoming

8. Preparing and running patient clinics

9. Reviewing upcoming clinics and ensuring all patient records are in order before the day of clinic and ensuring reminders have been sent to patients

10. Processing all patient billing/receipting for consultations

11. Attend to electronic, verbal and written tasks from clinicians in a professional and timely manner

What we're looking for

1. Proven 2 - 3 year minimum experience in a medical administration or receptionist role

2.



Strong communication and interpersonal skills with the ability to provide excellent customer service under pressure

3. Proficient in using Xestro medical software, electronic medical records, and general office applications

4. Excellent organisational and multitasking abilities

5. A friendly, professional and discreet manner

6. A commitment to maintaining patient confidentiality

7. A strong work ethic and reliability

8. Ability to be flexible and offer cover for staff on sick/recreational leave

9. Proficiency in Medicare, Private Health Funds, DVA and WorkCover

10. A good sense of humour
