Project Administrator
Location: Melbourne, Victoria
Rate: $40 per hour
Hours: 37.5 per week
Our client is seeking an experienced Project Administrator to support a fast‑paced ticket‑of‑works setting. This role is responsible for high‑volume invoice validation, documentation review and coordinating with subcontractors and internal teams to ensure accurate and compliant project delivery.
Key Responsibilities
- Process and validate 60–100+ invoices per day with accuracy.
- Review work orders, timesheets, compliance records and other supporting documentation.
- Identify discrepancies and resolve invoice or documentation issues.
- Liaise with subcontractors and field staff, including those in remote locations.
- Ensure documentation aligns with contractual obligations.
- Meet KPI benchmarks and manage multiple deadlines.
- Support process improvement and general project administration tasks.
Key Requirements
- Experience in a ticket‑of‑works environment.
- Strong analytical skills and excellent attention to detail.
- Proven ability to manage high‑volume invoice processing.
- Confident coordinating with both large and small subcontractors.
- Ability to work independently and collaboratively.
- Strong organisational skills and a methodical approach.
- Commitment to learning and seeking efficiencies in processes.
Ideal Candidate
- Strong communicator with confidence engaging internal and external stakeholders.
- Comfortable working in structured, high‑volume, process‑driven environments.
- Organised, methodical and proactive in problem solving.
- Experienced with workflow systems or ERP platforms (advantageous).
