HD Dental Studio is seeking an experienced, organised, and confident Practice Manager / Senior Front Office Coordinator to join our leadership team as we continue to grow.

At HD Dental Studio, we combine modern dental technology with old-fashioned personalised care.
We are currently a 2-chair practice with 3 clinicians, and we are steadily preparing to grow into a 3-chair practice. This provides a manageable, well-structured environment while offering genuine opportunities for leadership and growth.
Our Mount Gravatt practice provides comprehensive dentistry – general, cosmetic, implant, and orthodontic – in a warm and supportive setting. We pride ourselves on knowing our patients by name, creating a welcoming atmosphere, and supporting each other as a close-knit team.

About the Role
You will play a key role in ensuring the practice runs smoothly day to day.
This role blends front-office leadership, treatment coordination, and operational management.
You will be leading the daily operations of a 2-chair practice with 3 clinicians, with future expansion to a third chair. This gives the role a balanced workload while still offering room to grow your leadership responsibilities as the practice expands.
Your responsibilities will include:
1. Practice Operations
• Coordinating daily schedules, huddles, and preparation for complex cases
• Ensuring the practice environment is clean, organised, and fully equipped
• Monitoring booking efficiency, appointment utilisation, and front office indicators
• Overseeing completion of daily checklists and workflows
• Managing payments, banking, remittances, and financial accuracy
• Supporting rostering, timesheets, wage tracking, and leave records
• Maintaining high standards of presentation and consistent operational flow

Team Leadership & Support
• Guiding reception, dental assistants, and coordination staff
• Holding regular leadership discussions and team check-ins
• Managing training progress, performance expectations, and SOP compliance
• Assisting with recruitment, onboarding, and culture-building
3. Compliance & Governance
• Overseeing infection control, WHS, credentialing, and radiation compliance
• Ensuring timely and accurate clinical documentation and due treatment follow-ups
• Conducting routine audits of checklists, documentation, and internal systems
4. Financial Administration
• Supporting reconciliation of practice administrative accounts (merchant services, DVA/CDBS, QLD Health, PRODA)
• Helping with end-of-month reporting, accounting uploads, and invoice processing
• Monitoring stock budgets, expenses, and cost management opportunities
• Assisting with KPI monitoring and financial reporting
5. Scheduling & Workflow Management
• Overseeing appointment books across clinicians and front office staff
• Ensuring schedules are optimised for general, cosmetic, surgical, and implant workflows
• Anticipating bottlenecks and maintaining predictable daily timelines
6. Systems, Improvement & Growth
• Reviewing and improving workflows, SOPs, checklists, and operational systems
• Supporting data collection and reporting to the principal
• Leading new software or system rollouts
• Helping develop coordinators through clear goals and frameworks
• Assisting with practice projects and future expansion planning

About You
You are confident, organised, and experienced in dental front office operations. You enjoy a hands-on leadership role in a supportive, close-knit practice environment.
You'll have:
• Solid experience in dental reception or dental administration
• Excellent communication and interpersonal skills
• Ability to lead and support junior staff
• Strong time management, organisation, and attention to detail
• A proactive mindset, with the ability to anticipate needs and think ahead
• Solid tech confidence, including competency in basic computer functions and the ability to learn practice management software quickly (advanced IT skills welcomed)
• A polished, professional, and team-oriented approach
If you've worked as a Senior Receptionist, Front Office Coordinator, Treatment Coordinator, or Practice Manager, you will settle easily into this role.
This role is ideal for someone who enjoys a hands-on leadership position in a close-knit practice, rather than a large corporate or multi-site environment.
Role Details
• Full-time encouraged (38 hours), with part-time 32 hours across 4 days available
• Competitive salary starting at $70,000 + super, adjusted according to experience (pro rata for part-time).
