- One RDO (Rostered Day Off) per month
- Salary: EBA Level 3.1 ($79,688.03+Super)
- Location: Fawkner/Hybrid

The opportunity

Working closely with the Fleet operations manager, the business support officer is responsible for providing administrative, logistical, and operational support to ensure the effective management, maintenance, compliance, and utilisation of the organisation's plant and fleet assets. This includes assisting with work request allocations, asset tracking, servicing schedules, procurement, fuel usage, registration, and documentation to ensure all vehicles and equipment are compliant, protected, and fit for purpose. The Business Support Officer will ensure all tasks are accomplished in an effective and efficient manner, with attention to detail and within all legislative, policy and procedural guidelines.

Key Responsibilities include but not limited to:

- Fleet Record Management, maintain accurate records of plant and fleet assets, including registration, insurance, servicing, and compliance documentation. Track registration, insurance, servicing, and compliance schedules.
- Registration & Compliance, Coordinate registration, de-registration, and renewal processes for fleet vehicles and equipment. Ensuring that all fleet assets comply with local, state, and federal transport regulations
- Ensure compliance with WHS regulations, vehicle safety standards, and organisational policies.
- Manage logbooks, defect reports, and safety documentation, with an overview across regions that monitors process and systems are being used consistently
- Assist in the coordination and scheduling of regular maintenance, inspections, and repairs to minimise downtime, through allocation of works requests through CRM system.
- Liaise with internal departments and external service providers regarding vehicle bookings, servicing, and repairs.




- Maintain the fleet management system/database and ensure asset data is up to date, ensuring an up to date data base of all service history and report on vehicle downtime.
- Support procurement processes including the acquisition, disposal, and replacement of fleet and plant items. Assist in fleet procurement, renewal programs, and vehicle replacement schedules.
- Provide support for the disposal and auction processes for retired assets, ensure accurate reporting of disposal within the GMCT database.

To be successful in this position you will require:

- Demonstrated experience in a similar or comparable role.
- Highly developed written and verbal communication skills and interpersonal skills.
- Strong organisational and time management skills.
- Ability to effectively communicate at all levels.
- High level of interpersonal and communication skills and demonstrated ability to apply these with internal and external stakeholders.
- Understanding of, and commitment to, OHS practices which ensure a safe and healthy working environment for staff and the public.
- Ability to work well as part of a team.
