Primary objective
As part of the Business Support Unit of NT Fleet, this Officer provides efficient and effective administrative support services for
NT Fleet Management and Staff
Context statement
NT Fleet manages the light and heavy fleet for most government agencies and is responsible for the management, purchase,
disposal, and maintenance of the fleet. Vehicles are leased to government agencies at commercial rates with a key focus on
providing low cost, fit for purpose vehicles which meet operational needs.
Key duties and responsibilities
1. Maintenance of NT Fleet operational and financial records in Territory Record Manager (TRM), context including scanning,
checking, and trimming documents to TRM database as required by NTG Record Management Practices.
2. Coordinate TRM training in liaison with IMS Records Unit and support fleet staff in appropriate usage of TRM.
3. Carry out business searches via internet explorer, and record and maintain NT Fleet vendors list in Vendor Wizard enabling day
to day fleet business transactions.
4. Provide team administration support, including stock purchasing, repairs and maintenance of office equipment and perform
other duties such as sorting mail and organising travel and accommodation as directed.
5. Providing administrative support and backup to all staff as required including maintaining vendor data tables in the Fleet
Business System (FBS)
and provide assistance to System Administrators for FBS testing.
Selection criteria
Essential
1. Self-motivated, demonstrated initiative, high attention to detail, conscientious and an ability to adapt and cope within a changing
workplace.
2. A courteous and tactful phone manner and an ability to communicate effectively (written and oral) with internal and external
clients at all levels with respect to relevant protocols and procedures.
3. Proven ability to determine workload priorities to meet deadlines, keep confidentiality and capacity to work under pressure.
4. Well-developed understanding of accounts payable processes with sound knowledge of impact to General Ledgers.
5. Proven experience in using mainframe applications and various software packages such as Microsoft Office.
6. An ability to interact with people from diverse cultures in conjunction with Indigenous Employment Strategy.
7. Demonstrated work ethic and attitude which emulates DCDD values of commitment to service, innovation, ethical practice,
accountability, impartiality, diversity, and respect.
Desirable
1. Previous experience in the use of TRM or other file management systems.
2. Experience in developing and maintaining general office systems and procedures.
