About the role

This newly created role establishes you as the primary point of contact for the executive team. You will provide confidential and professional administration and executive support directly to the CEO and CFO. Furthermore, you will be crucial in coordinating and supporting Board,



Committee, and investor-related activities, and delivering high-level support across key strategic and operational projects, research, and vendor coordination.

Key Responsibilities:

- Acting as the primary point of contact for internal and external stakeholders on behalf of the CEO and CFO.
- Manage inboxes (eg. Outlook, MS Teams), including drafting and/or responding to correspondence with discretion, confidentiality and professionalism.
- Coordinating and maintaining busy calendars, scheduling meetings, and prioritising competing demands.
- Anticipating requirements, ensuring the CEO and/or CFO are well prepared for meetings, and proactively managing priorities to meet deadlines.
- Preparing reports, briefings, presentations, and correspondence as required
- Managing travel arrangements, including itineraries, bookings and expense claims, as required.
- Maintaining accurate and well-organised electronic filing systems for executive and confidential information.
- Supporting the CEO and CFO in monitoring, tracking, and following up on critical issues, actions, and projects.




- Maintaining and improving administrative systems and processes that directly support the CEO and CFO.
- Preparing and distributing agendas, papers and supporting documentation for Board, Committee, and regulatory meetings.
- Coordinating meeting logistics, including room bookings and setup, arranging refreshments or catering, and ensuring AV technology is tested and ready.
- Coordinating and preparing materials for investor and analyst meetings, including briefing packs, presentations, and logistics.
- Assisting with the planning and organisation of the Annual General Meeting and associated shareholder communications.
- Conducting research and preparing materials to support strategic decision-making and planning.
- High-level project management, coordination of timelines, deliverables, and stakeholder communication.




- Managing relationships with vendors and service providers, including reviewing and negotiating contracts and tracking deliverables.
- Confidential personal assistance to CEO & CFO

Education, Experience & Skills

- Minimum 5 years’ experience providing executive assistance to a C-suite executive or senior leadership team
- Secretarial or administrative qualification preferred
- Excellent written and verbal communication skills
- Proven ability to handle confidential and sensitive information professionally
- Demonstrated experience in preparing high quality documentation, reports and presentations (experience with Board of Directors papers preferred)
- Highly organised, with the ability to thrive in a fast paced and evolving environment
- Advanced proficiency in Microsoft Office (Word, PowerPoint, Excel)




- Exceptional attention to detail and accuracy
- Demonstrated cross-cultural awareness and professional conduct
