As we continue to grow, we are excited to welcome an experienced and compassionate Executive Practice Manager to lead the operational and administrative functions of our vibrant practice.

About the Role

This leadership role combines strategic oversight with hands-on coordination to lead the operational, administrative, and systems functions of a growing multidisciplinary allied health and education practice. The Executive Practice Manager is responsible for ensuring the smooth and efficient running of daily clinic operations, with a strong focus on scheduling, digital systems (particularly Zanda), compliance, and client service excellence. Working closely with the Client Services and Operations Manager and allied health leadership teams, this role plays a critical part in delivering seamless, family-centred care and supporting staff across the organisation. It’s an exciting opportunity for a proactive leader to drive continuous improvement, innovation,

Key Responsibilities

- Lead daily front-of-house operations, ensuring a welcoming and safe clinic environment for children and families

- Oversee clinician scheduling, diary management and communications, maximising both client outcomes and staff capacity

- Be the organisation-wide lead for Zanda practice management software, including workflow optimisation, training, and reporting

- Manage compliance and quality assurance systems across WHS, NDIS, Medicare, privacy, and data security

- Drive efficient and empathetic client intake, onboarding, and communication processes

- Coordinate resourcing, office environment, and maintenance with external providers

- Support onboarding and coordination for new staff; maintain credential records and mentor junior admin





- Contribute to marketing initiatives, including email campaigns, social media content and school/community outreach

About You

You are a proactive and experienced administrator or operations leader with a heart for purpose-driven work. You thrive in a fast-paced environment, enjoy solving complex problems, and are passionate about delivering exceptional service to families and clinicians alike.

Your strengths include:

- Strong leadership and communication skills

- High-level digital literacy, with a love for systems, scheduling, and streamlining processes

- Warm and professional client manner, especially with children and families

- Strong attention to detail, compliance awareness, and quality assurance focus

- Ability to work independently and collaboratively within a multidisciplinary team

Essential Criteria

- Proven experience in senior administration, operations or practice management (allied health, education or NDIS sector preferred)

- Expertise in scheduling, diary coordination and cloud-based systems (Zanda highly regarded)

- Understanding of compliance, WHS and child safety frameworks

- Excellent interpersonal, written, and digital communication skills

Desirable

- Experience in neurodiversity-affirming environments

- Familiarity with NDIS, Medicare,



and private health workflows

- Marketing and communication tools knowledge (e.g. Canva, Mailchimp)
