**Job Description**:
**Executive Assistant/ Office Manager**
- Executive support to Chief People Officer + Lead Receptionist Team of 3_
- Based at Macquarie Park Corporate Head Office
- On site car space provided, WFH Friday
- 7 additional leave days per year + Not for Profit Salary Packaging

As Executive Assistant to the Chief People Officer (CPO), of Catholic Healthcare, you will provide executive level administrative and strategic support to the CPO in managing the organisation's human resources and people-related initiatives and communications. Additionally, you will manage & lead the busy Receptionist team of 3.





You will be responsible for ensuring smooth communication and coordination between the CPO and various internal and external stakeholders. You will have the ability to pre-empt needs, maintain a high level of confidentiality regarding sensitive HR and employee-related information and develop collaborative business relationships.

Your diligent approach, well developed interpersonal skills and ability to confidently communicate and lead in a professional & personable manor will aid your success in this integral position.

As a member of a highly productive broader HR team, your days will include;
- High level diary management & meeting scheduling - MS Outlook
- Providing leadership, coaching, & support to the Receptionists Team
- Processing of purchase orders, invoices, & expense reconciliation - Basware
- Producing meeting agendas, minutes, & follow up items as required
- Assisting with the production of letters, memos, & presentations, as required
- Coordination & organisation of Internal Communications & Conferences
- Organisation of all HR documentation within Microsoft Sharepoint




- Coordinate and manage HR/Office Management related projects
- Travel & accommodation coordination support for Human Resources team members

The ideal applicant will have exceptional attention to detail, a proactive "hands on" approach and a willingness to assist where needed, in addition to;
- Tertiary qualifications within Business Administration - preferred
- Significant demonstrated recent experience within a similar role supporting at Executive level
- Competent in using computer systems & MS Office suite, with Advanced skills in Microsoft Outlook, Word, and Sharepoint preferred
- Experience with Basware - Advantage
- Previous experience working within a Human Resources team - desirable
- Ability to manage a busy workload & associated competing priorities in a calm & professional manner




- Ability to maintain confidentiality and use discretion - Essential
- Must be able to provide evidence for Covid19 Immunisations
