Position Overview:
We are seeking a detail-oriented and organised Administrative Assistant with bookkeeping experience to join our team on a casual/part time basis. The Admin Assistant will play a crucial role in supporting the Administration Manager by performing various administrative tasks and assisting with day-to-day accounting operations. This position offers an excellent opportunity for individuals interested in gaining experience in in the hotel industry while contributing to the overall success of the company.
This is a part-time or casual position (20-30 hours per week depending on business requirements)
Key Responsibilities:
- Data Entry and Record-keeping: Accurately enter financial data into accounting software and maintain organised records of transactions, invoices, receipts, and other financial documents.
- Accounts Payable and Receivable: Assist with processing accounts payable invoices, issuing payments, and reconciling supplier statements. Support accounts receivable processes, including invoicing clients,
tracking payments, and following up on outstanding balances.
- Bank Reconciliation: Reconcile bank and credit card statements regularly to ensure accuracy and identify discrepancies. Investigate and resolve any discrepancies in a timely manner.
- General Administrative Support: Provide general administrative support, including filing documents, answering phones, responding to enquiries, and assisting with special projects as needed.
- Communication: Collaborate effectively with colleagues across multiple departments to ensure smooth operations and a timely resolution of issues.
- Reservation/Front Office assistance where required. Assisting the reservation team with check ins, enquiries, phone calls, emails etc.
About You:
- Proven experience in administrative roles, preferably in an accounting or finance environment.
- Preferred experience in QuickBooks Online and RMS Cloud
- Proficiency in Microsoft Office suite, particularly Excel
- Strong attention to detail and accuracy in data entry and record-keeping.
- Excellent organisational and time management skills, with the ability to prioritise tasks and meet deadlines.
- Strong communication and interpersonal skills, with the ability to work effectively as part of a team.
- Ability to maintain confidentiality and handle sensitive information with discretion.
