Job Description

BIC has a great opportunity for a motivated and team-oriented individual to join our team as Office Administrator on a casual basis. This is ideal to pair with university studies in a related business field, while working in position that allows you to get to know the functions of an iconic business across all departments.

The Office Administrator will be responsible in overseeing the smooth running of the general office, attend to all consumer complaints, complete all company consumable purchases, provide administration support to the business as required and event coordination.

Main responsibilities include:

Office Duties

- Answer all calls on the reception phone line, divert calls and/or take messages

- Greet guests at reception to sign in and accept deliveries

- Sort mail and organize for mail transfers to other sites as required, ensure outbound mail is ready for collection including overnight bags

- Ensure reception/office administration manual is up to date

- Provide administration assistance to the business as required.

- Assist with the coordination of BIC social and wellness calendar

- Working with the Marketing team to manage Consumer Complaints process from end to end

- Support the Stationery brand manager with administration tasks for the sustainability program

- Manage donations programs, responding requests and organizing shipments for donations.

- At the start and end of each workday, ensure that the boardroom, training rooms, reception area and kitchen are clean, stocked and ready for use

- Pack and unpack dishwasher on each workday

- Oversee meeting room bookings and projector hire as required

- Oversee booking of the company car park as required

- Organize couriers as required

- Ensure office and equipment is suitable for daily work by maintaining it and organizing repairs where required

- Restocking office supplies as needed

- Supports team in organizing travel via the CWT system


- Postbags – padded and express

- Stationery orders

- All amenities and consumables - Toilet paper, sugar, paper towel, dishwashing detergent, tea, coffee etc.

- Letterhead and envelopes

- Business cards and name plates

General Duties

- Assist with the coordination of staff social functions

- Other duties as requested.



- Either holds or is completing study in Bachelor of Business or equivalent

- Strong communication skills, both written and verbal.

- Purchasing experience.

- Ability to manage & prioritize tasks with multiple stakeholders in the Company

- Intermediate to advanced level computer skills in Excel, Word, Internet and Outlook.


- Office management / facilities experience

- Event Coordination and assistance
